Instructions for Authors

 

Oral presentations
NOTE: Guidelines for oral presentations have been amended. Please check those updates below.

• Please check the latest version of the program to verify the time of your presentation.
• All oral presentations will take place in the Vanderbilt Room.
• Keynote presentations will be 40 minutes in length: 30 minutes for presentation and 10 minutes for follow-up questions and discussion.
• All other presentations will be 25 minutes in length: 18 minutes for presentation and 7 minutes for follow-up questions and discussion.
• Please prepare your presentation electronically using Microsoft PowerPoint (MS Power Point 97 or higher).
• A projector and a computer running Windows 2000 and MS PowerPoint 2000 will be provided.
• Please do not send your presentation before the conference. Instead, bring a copy of your presentation
to the conference on a CD or memory stick, named following the timetable. E.g., the first presentation should
be named Wiehe.ppt, the second Boduszynski.ppt, and so on. The presentations will be loaded onto a computer
at registration.
• Please do not plan to use your own laptop for running your presentation. This is to avoid problems with computer – projector compatibility and to ensure efficient conference progress.
• An overhead projector will also be provided. Authors are advised to bring their presentations on overhead slides as a backup.
• The following link has guidelines and suggestions for preparing PowerPoint files.

 

Poster presentations

• Posters will be distributed throughout the general conference area, including the Vanderbilt Room, the Hunt Room, and the Gallery leading up to these rooms.
• Poster boards (4 ft. high x 6 ft. wide) will be available for mounting the posters. Only one poster will be assigned per board side. Authors may use the complete surface if they wish.
• Posters may be affixed to the boards by pushpins provided by the conference organizers.
• Construction and arrangement of the poster boards should be completed Monday morning. Authors may mount the posters on their assigned boards after 1200 hours on Monday. Each board will be marked with an ID number. Please check the program for the ID number of your poster.
• Authors are required to be present at their posters from 1900 hours to 2100 hours ( 7pm-9pm ) on Monday to answer questions by visitors to your poster display.
• Authors are asked to leave the posters mounted until the end of the evening session on Tuesday, so that attendees may visit the posters during breaks. Posters not removed by Wednesday 12:00 hours will be taken down and discarded.
• Authors are requested to make single-page handouts of their poster available near their posters to distribute to interested attendees, as NO compact disk will be compiled containing electronic versions of the posters.
